We are looking for an organized, resourceful and detail-oriented person to support our management, project management, accounting and construction teams.
Someone who enjoys bringing order to things, does not need three reminders to follow up, and understands that a properly filed document today can prevent a lot of problems tomorrow.
Your role
You will play a central role in SIROY’s administrative operations.
Your responsibilities will be varied and will evolve depending on our projects. More specifically, you will:

answer calls, emails and general inquiries, and direct them to the appropriate team members;
-
prepare, review and format emails, letters, spreadsheets and other documents;
-
open, organize and maintain project administration files;
-
file plans, specifications, addenda, bids, contracts, purchase orders and other documents;
-
support project managers in preparing invitations to tender and following up on bids;
-
prepare certain contracts, purchase orders and documents using our templates;
-
collect and verify required documents from suppliers and subcontractors;
-
receive invoices, perform an initial review and forward them to the appropriate team members;
-
work with the accounting department to follow up on approvals, payments and missing documents;
-
schedule meetings, prepare the necessary documents and record important action items;
-
maintain up-to-date contact information for clients, professionals, suppliers and subcontractors;
-
track administrative deadlines and follow up with the people involved when necessary;
-
assist in preparing project closeout files, including warranties, manuals and final documentation;
-
order supplies and help ensure the office runs smoothly;
-
contribute to improving our tools, templates and work methods.
You will work with several people and manage multiple files at the same time. You must therefore be able to set priorities, ask the right questions and maintain a clear view of what still needs to be done.
The profile we are looking for
Above all, we are looking for someone who is reliable, organized and enjoyable to work with.
You are someone who:

has experience in an administrative or coordination role;

is highly organized and attentive to detail;

has excellent written and spoken French;
-
is comfortable using office software, spreadsheets and digital tools;

learns new management systems quickly;

can manage several requests without losing track of important follow-ups;

communicates clearly and professionally;
-
demonstrates sound judgment and discretion;

takes initiative and looks for solutions;

can work independently while collaborating with the team;
-
likes files to be complete, properly organized and easy to understand.
Training in administration, office management, accounting or business management would be an asset. Experience in construction, architecture, engineering or real estate would be particularly valuable.
We do not expect you to know all our processes on your first day. We are looking for someone who listens, asks questions and wants to understand how our projects work.
