Clinic Coordinator – Administration and Operations St-Hubert | Full-time | Monday to Friday, from 8 AM to 4 PM Are you recognized for your organizational skills, leadership, and ability to set priorities in an environment where multiple requests can arise simultaneously? We are recruiting a clinic coordinator – Administration and Operations for a private clinic located in St-Hubert. You will play a central role in coordinating administrative and operational activities, supervising the medical secretary, and improving work processes. This is an administrative and operational position. No clinical qualifications are required. Your daily routine Your role will be to ensure the continuity and smooth running of the clinic's operations. You will be responsible for:
- Planning and coordinating administrative activities based on clinical, surgical, and administrative days;
- Establishing daily and weekly priorities, distributing tasks, and ensuring follow-up;
- Ensuring adequate coverage of reception, phone, emails, and breaks;
- Coordinating the schedules of professionals based on the clinic's needs;
- Supervising the daily work of the medical secretary, clarifying expectations, and supporting the development of her autonomy;
- Conducting regular follow-ups on priorities, obstacles, work quality, and necessary corrections;
- Maintaining reliable administrative controls for files, follow-ups, payments, and important tasks;
- Ensuring the quality of reception, communications, and administrative follow-ups with clients;
- Supervising inventories and ensuring that necessary supplies, equipment, and products are available;
- Preparing or approving current orders according to established authorization levels and ensuring follow-ups with suppliers;
- Monitoring the proper functioning of equipment and coordinating necessary interventions;
- Supervising end-of-day reports, cash collections, and information intended for accounting;
- Performing required administrative validations and promptly reporting any discrepancies or unusual situations to management;
- Documenting, simplifying, and standardizing processes to improve operational efficiency;
- Proposing and coordinating improvements to tools and work methods;
- Periodically communicating operational issues, risks, improvements, and required decisions to management.
- A college or university degree in administration, management, coordination, or a related field, or an equivalent combination of education and experience;
- 3 to 5 years of experience in administrative coordination or operations management;
- Concrete experience in supervising, supporting, or managing the performance of an administrative resource;
- Good mastery of office tools, shared calendars, and file management systems;
- Excellent command of spoken and written French as well as functional English;
- A calm, respectful, and mobilizing leadership style;
- Excellent organizational skills, rigor, judgment, and great attention to detail;
- The ability to set priorities and stay on track despite interruptions;
- Clear communication, good listening skills, and the ability to provide constructive feedback;
- A service-oriented, collaborative, and problem-solving approach;
- Discretion and a strong respect for confidentiality;
- Comfort with technology and an interest in continuous improvement.
