We are seeking a reliable, organized, and detail-oriented Assistant Property and Rental Manager to join our team. Reporting to the Director of Real Estate, the successful candidate will assist with the day-to-day operations and leasing activities of the property, including responding to leasing inquiries, coordinating apartment and broker visits, supporting the application and lease process, and providing excellent service to prospective and current residents.

Main Responsibilities:

The Assistant Property and Rental Manager will be responsible for participating in the leasing and day-to-day operations, ensuring efficient and optimized management and leasing.

  • Respond to all leasing inquiries (emails, calls).
  • Organize and coordinate apartment visits with prospects.
  • Coordinate visits for real estate brokers.
  • Conduct background checks with an external firm and evaluate the report with the Director of Real Estate.
  • Prepare lease agreements and manage the lease signing process with tenants.
  • Maintain tenant files, including lease documentation, obtaining missing information as needed.
  • Hold regular meetings with the property manager to review available units, recently signed leases, and planned moves-in/moves-out.
  • Perform data entry tasks, including updating tenant information and creating reports.
  • Track maintenance requests and work orders in the property management software (Yardi).
  • Coordinate with accounting, process rent payments, and check requests.
  • Manage and organize tenant move-in and move-out inspections, and key pickups with on-site staff.
  • Prepare and send building work notices and tenant notices.
  • Manage, schedule, and track building repairs, service calls, fire and alarm inspections, etc. as directed by the Property Manager.
  • Provide exceptional customer service to tenants, responding to requests and concerns in a timely manner.
  • Answer phone calls and emails professionally.
  • Build and maintain positive tenant relationships, ensuring high tenant satisfaction.
  • Perform other duties and special projects as needed.

Primary Qualifications:

  • High school diploma or equivalent.
  • Previous experience (minimum 2-3 years) in administration, property management, or leasing.
  • Strong organizational skills and the ability to multitask and prioritize effectively.
  • Ability to handle confidential and sensitive information. sensitive.
  • Strong attention to detail.
  • Excellent customer service skills, with a friendly and professional demeanor.
  • Proficient in data entry and computer skills.
  • Familiarity with Microsoft Office.
  • Experience in the accounts receivable/payable field is considered an asset.
  • Experience using Yardi or a property management system is an asset.
  • Experience or knowledge in the real estate field is considered an asset.
  • French (spoken and written) English (comfortable for professional conversation).
