We're growing in the Calgary market and are looking for an Assistant Property Manager to join our team and grow with us.

Overview

Reporting to Senior Property Managers, the Assistant Property Manager (APM) will support day-to-day operations and providing outstanding service to our tenants.

Assistant Property Manager Key Responsibilities

  • Assist in establishing and maintaining tenant relations by understanding tenant needs, concerns and contributing to prompt resolutions.
  • Assist with Tenant move-in and move-out procedures.
  • Lease interpretation and ensuring adherence to requirements.
  • Working with Senior Property Manager, support and assist with reporting requirements, including financial analysis and budget preparation.
  • Working with Senior Property Manager, support monthly/quarterly and annual variance analysis, PO reconciliation and Job Cost reporting.
  • Attend department and tenant meetings, and take minutes if required.
  • Support the management and oversight as required of the day-to-day running of the Fitness Facility, bike parking, Conference Centre, Lounges, parking etc. and support as required by the Property Manager. 
  • Assist with the planning and executing seasonal and special building events.  Administer annual Tenant Surveys.
  • Conduct inspections, such as safety, insurance, janitorial and vacant suites, maintain inspection documentation and communicate deficiencies to team members. Perform periodic audits of building systems such as parking or access cards.
  • Maintain and prepare vacant suites to support building leasing efforts under the supervision of the property manager.
  • Develop/edit/update building manuals (i.e.: Tenant Handbook, Construction Rules and Regs, training guides etc.), draft notices, and provide support and back up to administrative teams.
  • Conduct vendor/product research; obtain service quotes as requested.
  • Prepare and provide ESG data to tenants, participate in environmental programs and certification processes.
  • Coordinate with tenants for maintenance, inspections, training, contractor visits etc.
  • All other duties and projects as assigned from time to time.

Requirements

  • Minimum of 3 years’ experience in Commercial Property Management is an asset required;
  • Enrolment in RPA/CPM is an asset;
  • Demonstrated ability to multi-task and manage priorities under pressure with careful attention to detail is required;
  • Demonstrated analytical and decision-making skills;
  • Strong Computer skills and knowledge of MS Office required, basic Knowledge in YARDI preferred;
  • Excellent communication skills both written and oral;
  • Experience with construction procedures and capital projects is an asset
  • Strong interpersonal skills for working closely with customers and tenants.
