Responsibilities — structure, prioritize, and manage daily operations
- Orchestrate the founder's calendar, priorities, and follow-ups to protect their time and secure critical deadlines.
- Coordinate the client intake from start to finish (KYC, conflict checks, engagement letters) and ensure document compliance of files.
- Drive the dashboard of active files and produce monthly performance reports to support decisions and planning.
- Supervise junior and contract resources by assigning work, tracking progress, and ensuring the quality of deliverables.
- Manage external vendors and collaborate with the external accountant to ensure smooth operations.
- Administer professional billing, follow up on payments, and maintain rigorous traceability.
- Implement and evolve the technology stack (including ClickUp or equivalent) as well as processes, documenting clear and sustainable procedures.
Profile sought — solid experience in a firm and impeccable discretion
- Have 8 to 15 years of experience in a professional firm (e.g., taxation, family office, accounting services, legal or notarial services).
- Master the engagement cycles and billing in professional services, with good follow-up rigor.
- Be comfortable in a tool-equipped environment (ClickUp or equivalent; Microsoft 365 or Google Workspace).
- Understand basic tax vocabulary to navigate effectively through files and exchanges.
- Communicate fluently in French and English, both written and spoken.
- Work with complete autonomy, with a marked ability to anticipate and prioritize.
- Exhibit absolute discretion, high standards, and a solution-oriented approach.
Conditions — compensation, bonuses, benefits, and flexibility
- Offer a salary between $80,000 and $100,000.
- Add a bonus of up to 15% of the salary.
- Provide 4 weeks of vacation.
